GENERAL BACKGROUND
 
The Land Command provides to the NATO Command and Force Structures immediate responsive land planning capability. - As a section of the Base Support Group, the Base Support Management Section is intended to provide home station, limited support to the LANDCOM. The Base Support Group (BSG) coordinates, plans, organizes, advises and primarily liaises with the host nation, national support elements, contractors, and NATO support agencies on all matters of real life support (RLS) which includes force protection and security, engineering, multifunctional logistics, morale and welfare activities, and purchasing and contracting. The host nation coordinates the RLS functions and tasks for Land Command-Izmir. The Staff Assistant for Travel will coordinate the travel requirements for the LANDCOM.
 
PRINCIPAL DUTIES
 
The incumbent's duties are:
 
• Responsible for the day-to-day management and administration of the Travel Office.
• Coordinate and administer all official travel activity at HQ LANDCOM.
• Process and approve travel requests through NAFS and determine the most economical means of travel that meets mission requirements.
• Advise HQ LANDCOM personnel on travel policies and procedures.
• Make reservations and provide travel options and information by interrogating the travel industry commercial automated system.
• Coordinate and prepare tickets and travel orders.
• Disseminate information concerning travel routings and price changes to all parties concerned.
• Assist with arranging non-event related accommodation for visitors to HQ LANDCOM.
• Assist in the preparation of reports and returns.
• Authorized to make decisions regarding the work priorities of the supporting staff of the organizational unit. Authorized to intervene to adjust day to day work priorities of the staff to ensure that they match those of the head of organizational unit and the HQ.
 
SPECIAL REQUIREMENTS AND ADDITIONAL DUTIES
The employee may be required to perform a similar range of duties elsewhere within the organisation at the same grade without there being any change to the contract Regularly attend training courses/seminars to maintain functional and professional competence in the field of automated systems administration operations. The incumbent is required to undertake operation deployments and/or TDY assignments both within and without NATO's boundaries up to 30 days. The work is normally performed in a typical Office environment. Normal Working Conditions apply. The risk of injury is categorised as: No Risk
 
ESSENTIAL QUALIFICATIONS
a. Professional/Experience
 
The study of marketing and advertising tourist destinations and events. It includes the study of ticketing and reservation practices. Includes the study of recreational and leisure activities for individuals and groups. (specialisation: Travel services)Works under general supervision, uses discretion in identifying and resolving complex problems and assignments and determines when problems should be escalated to a higher level. Performs a broad range of work, sometimes complex and non-routine, in a variety of environments. Understands and uses appropriate methods, tools and applications. Plans, schedules own work and monitors work of others - where applicable - within limited time horizons. In predictable and structured areas may supervise others.
 
Influences peers and has frequent contact with external organisations, HQs and agencies. Appreciates wider occupational field and is able to absorb and apply new information and demonstrate an analytical and systematic approach to problem solving. At least 4 years administrative experience in the field of travel procurement, commercial travel business, purchasing, sales, finance or related activity. Experience with automated travel and financial systems.
 
b. Education/Training
 
Higher Secondary education and intermediate vocational training in business administration travel, accounting or related discipline which might lead to a formal qualification with 2 years experience or a Secondary education and completed advanced vocational training in that discipline leading to a professional qualification or professional accreditation with 4 years post related experience.
 
c. Language
English - SLP 3322 - (Listening, Speaking, Reading and Writing)
NOTE: The work both oral and written in this post and in this Headquarters as a whole is conducted mainly in English.
 
DESIRABLE QUALIFICATIONS
 
a. Professional/Experience
Specific Experience: Experience with the travel industry automated systems
 
b. Education/Training
Experience as travel assistant in a middle to large organization. Extensive experience with commercial travel management modules, including related automated systems.
 
ATTRIBUTES/COMPETENCIES
 
Work can generally involve complex or unusual travel requirements and may demand considerable thought and judgment. Require an ability to assess quickly cost and time factors when determining travel means. Delivery of service to senior and junior staff requires patience, tact and an ability to clearly explain opportunities and restrictions. Initiative is needed to prioritize travel requests.
 
Mental alertness, service minded, negotiating skills, courtesy and diplomacy. Prepared to work extended hours when necessary and to perform TDY missions. Able to coordinate duty related issues within the different LC account holders and NAFS matters with HQ LANDCOM Budget and Finance staff.
 
Frequent contact with commercial companies.
 
Indirectly influence the ability of HQ staff to fulfill their missions. Provide support to the appropriate and efficient utilization of financial resources available to the LANDCOM. This post reports to: OLC SSX 0010 - Section Head (Base Support Management).
 
Ensures activities are in accordance with NATO regulations Assists in initiating and implementing travel policy and regulations for LANDCOM. Dependent on requirements the incumbent may be required to perform a similar range of duties elsewhere within the organization as directed.
 
CONTRACT:
The successful candidate will receive a three-year definite duration contract which may be followed by an indefinite duration contract.
